Creating a Smart Mailbox Folder In Mail On a Mac. A Smart Mailbox folder is a group of Smart Mailboxes that you’ve chosen to keep in a single place. You can create the folder, add your chosen mailboxes to it, and then access them all in a single-click. Launch Mail and select Mailbox followed by New Smart Mailbox Folder. To locate the folder where Mac OS X Mail version 1 stores mail: Open a new Finder window. Go to your home directory by using the Home toolbar button or by selecting Go Home from the menu bar. Tip: If you want to organize messages without moving them around, use Smart Mailboxes.

Create mailboxes

  1. In the Mail app on your Mac, choose Mailbox > New Mailbox.

  2. Click the Location pop-up menu, then choose where to create the mailbox.

    • On My Mac: Mailboxes you create in On My Mac are local, meaning you can access them only on this computer.

    • Account: Mailboxes created on your email account’s mail server can be accessed on any computer or device where you use the account.

    If you choose an existing mailbox as the location, the new mailbox is created within the existing mailbox—like a subfolder.

  3. Type a name for the mailbox, then click OK.

Smart Mailbox For Mac

In a work environment, public read-only mailboxes may be available in your email account. For example, a public folder may be used to provide information for all users of a company email system. You can’t create mailboxes within or save messages to these read-only mailboxes. To find out how to post messages to the mailbox, ask your email administrator.

To reorder the mailboxes for an email account in the Mail sidebar, drag a mailbox to a new location within the account.

Delete mailboxes

WARNING: Deleting a mailbox permanently deletes the mailbox and its contents (including other mailboxes), and can’t be undone. If you use Time Machine to back up files on your Mac, you can use it to recover previous versions of a deleted mailbox.

  1. In the Mail app on your Mac, select a mailbox in the Mail sidebar.

  2. Choose Mailbox > Delete Mailbox.

    If you have problems deleting a mailbox on the server for an IMAP account, contact the provider of your account.

When you delete a Smart Mailbox, the messages it displayed remain in their original locations.

If you use the Finder to delete a mailbox, the change may not appear in Mail.

Mail can import email messages that have been exported in mbox format from other email apps, and import mailboxes exported from Mail on a Mac. You can export mailboxes in mbox format.

Import mailboxes

  1. In the Mail app on your Mac, choose File > Import Mailboxes.

  2. Select a source in the list, read the information that appears below the list, then click Continue.

    • If you’re importing a mailbox exported from Mail or a folder in the ~/Library/Mail/V7 folder on another Mac, select Apple Mail. To get to the Mail folder on a Mac, click the desktop to make sure you’re in the Finder, press and hold the Option key, choose Go > Library, then click the Mail folder.

    • If you’re importing messages from a Windows or UNIX computer, select “Files in mbox format”, then locate the folder containing the files.

  3. Reorganise the imported messages, if you like.

    The messages are in a new mailbox called Import in the Mail sidebar. You can drag folders and messages from the Import mailbox to new or existing mailboxes, then delete the Import mailbox.

  1. In the Mail app on your Mac, select one or more mailboxes, then choose Mailbox > Export Mailbox.

  2. Choose a folder or create a new folder, then click Choose.

    Mail exports the mailboxes as .mbox packages. If you previously exported a mailbox, Mail doesn’t overwrite the existing .mbox file; it creates a new .mbox file, such as My Mailbox 3.mbox.
